Understand Transaction Statuses and Chargebacks
This article explains the different transaction statuses you may see in Emburse Cards and what each status means for your available balance, ledger balance, and next steps. It also outlines when and how to request a chargeback for unauthorized transactions.
Transaction Statuses Overview
Transactions move through different statuses from authorization to final posting. The table below defines each status and what action, if any, is required.
| Status | What It Means | Impact On Balance | Action Required |
|---|---|---|---|
| Pending | The transaction has been authorized but has not yet posted. | Reduces available balance. Does not affect ledger balance. | No action required. The transaction will either post or fall off. |
| Posted | The transaction is finalized and fully processed. | Reduces both available and ledger balances. | Review and approve if required by your company workflow. |
| Declined | The transaction was not approved at the time of purchase. | No impact on balances. | Review decline reason. Contact your Admin if needed. |
| Chargeback | The transaction is under dispute due to suspected unauthorized or fraudulent activity. | Funds may be temporarily adjusted during the dispute process. | Follow the chargeback process and provide any required documentation. |
Why Transactions Are Declined
Transactions may be declined for several reasons, including:
- Budget restrictions
- Merchant restrictions
- Fraud prevention controls
- Insufficient funds in the business account

If you are unsure why a transaction was declined, contact your account Admin to confirm whether restrictions apply or whether additional funds are required.
If the issue remains unresolved, contact Emburse Cards Support and provide the last four digits of the card and your company name associated with the transaction.
Transaction Actions
When viewing transactions, select the arrow next to a transaction to see available actions.

| View | Open transaction details and review activity. |
| Approve | Approve the transaction if your workflow requires review. |
